A CONFIDENTIAL or DRAFT watermark makes a document's status visible on its pages before you share it. You can add a text watermark to a PDF with the Watermark PDF tool, adjust its appearance, and download a marked copy in your browser.
Watermarks are useful labels, but they are not a substitute for encryption, access control, or redaction. This guide explains how to add one and how to choose the right tool for sensitive information.
When to watermark a PDF
- Draft proposals and reports: Label work in progress so readers know it is not final.
- Internal review copies: Use labels such as INTERNAL USE ONLY or FOR REVIEW to communicate the intended audience.
- Copyright notices: Add a visible attribution or copyright notice to a document you are sharing.
- Confidential documents: A CONFIDENTIAL label can remind recipients to handle a document carefully, but it does not stop a reader from opening or copying it.
How to add a text watermark to a PDF
- Open the Watermark PDF tool.
- Select a PDF from your device and wait for the preview to load.
- Enter the text you want to display, such as CONFIDENTIAL, DRAFT, or REVIEW ONLY.
- Adjust the transparency, text size, color, and rotation. The current tool centers the text on each page; it does not offer custom positioning or tiled watermarks.
- Select Add Watermark, inspect the page previews, and download the output when it looks right.
The tool supports text watermarks in black or red, with four size options and adjustable opacity and rotation. It does not currently support image or logo watermarks.
Choose a watermark that stays readable
A watermark should be noticeable without making the page difficult to read. Start with a lighter opacity and a moderate size, then review pages that contain dense text, charts, or signatures. The tool lets you adjust opacity from 10% to fully opaque, choose a size from Small to Huge, select black or red, and set rotation in 15-degree steps.
There is no single setting that suits every PDF: page dimensions and content vary. Check the preview on more than one page before downloading, and open the exported PDF to verify that the text remains legible and does not obscure important content.
What a watermark does—and does not—protect
A watermark is a visible label, not a security boundary. It does not prevent a recipient from opening, copying, or sharing a PDF, and it should not be treated as proof of ownership. For access restrictions, use Protect PDF to apply password protection and share the password through a separate channel.
If you need sensitive text or identifiers removed from a document, a watermark is not enough: the original content remains. Use Redact PDF for information that must be removed, and carefully inspect the exported file before sharing it.
File processing and privacy
The selected PDF is read and processed by the watermark tool's browser-side code rather than sent to a PDFTools4U server conversion endpoint. The website still loads scripts and other assets and may make analytics or performance requests, so local file processing does not mean the entire site is offline or makes no network requests. Read the Privacy Policy, and follow your organization's rules before using an online tool with sensitive files.
Frequently asked questions
Can I add a watermark to a PDF without Adobe Acrobat?
Yes. Open the free Watermark PDF tool in your browser to add a text watermark without Adobe Acrobat.
Can I add a logo or image watermark?
Not with the current version of this tool. It adds text only; it does not accept an image or logo as a watermark.
Is my PDF uploaded to a server?
The selected file is processed in browser-side code, not through a PDFTools4U server conversion endpoint. The site itself still makes requests to load assets and may make analytics or performance requests. See the Privacy Policy for details.
Does a watermark keep people from opening or copying the PDF?
No. A watermark labels the pages but does not encrypt the file or restrict access. Use Protect PDF for password protection. To remove sensitive content, use Redact PDF instead.
Ready to label a document? Open the Watermark PDF tool, apply a text watermark, and inspect the exported file before sharing.
